DEFINITION
Perform a variety of customer service and office support duties to facilitate usage of recreation activities, facilities, and services for the Parks and Recreation department; provide information to customers related to area of service; perform a variety of related administrative, accounting and clerical functions.
SUPERVISION RECEIVED AND EXERCISED
Receives general supervision from higher level management or supervisory staff.
PRIMARY DUTIES--The following are examples of primary duties assigned to positions in this classification. Other related duties and responsibilities may be assigned.
1. Perform a variety of customer service duties; provide information to area residents, City departments, general public and outside agencies related to Parks and Recreation services and activities such as recreation program registration, sports programming, facility booking, and sales of recreation passes and season tickets; respond to requests for information related to departmental operations including golf courses, pools, parks, forestry, and cemetery; coordinate with other departments and outside agencies on interrelated issues and projects.
2. Assist customers in person, over the telephone, and via the internet; answer customer questions, provide information and/or direct customers to appropriate City divisions/departments; collect appropriate customer information; prepare and process recreational program and class registrations for individuals or teams; interpret, apply, and communicate policies and procedures.
3. Process rentals and reservations of park shelters, fields and other facilities; coordinate shared space with school district, facility, equipment set-up and staffing; prepare permits, contracts and supporting documents; create and maintain booking calendars for various facilities.
4. Schedule fields, courts, and facilities; prepare contracts and supporting documents for all athletic programs and tournaments; prepare, update, and distribute schedules, standings, and applicable league credits.
5. Collect and process a high volume of monies including registration and facility use payments, ticket sales, accounts receivable payments and miscellaneous cash receipts; process refunds and adjustments; balance cash and prepare deposit documents.
6. Utilize various computer hardware and software packages including word processing and database applications; compile, prepare, enter and update data from various sources; maintain customer accounts and activity/course information; generate a variety of reports, general correspondence, and memoranda from rough draft or verbal instruction; disseminate information as appropriate.
7. Create flyers, brochures, and mailings for customer distribution; create and send public service announcements to the media; create and send email notifications.
8. Review and administer distribution of scholarship funds including approval of family scholarship applications, calculating award percentage, and verifying private participant information.
9. Record and enter information into the payroll system; prepare paychecks for distribution; prepare personnel forms and contracts.
10. Participate on special event committees; provide technical support and assistance.
11. Maintain and track office and equipment supplies and inventories; order supplies as needed; monitor operation of office equipment; schedule repairs as needed.
12. Perform other duties of a similar nature or level.
QUALIFICATIONS
Knowledge of:
Modern office technology and equipment, including computers and related software applications.
Reception and customer service procedures and principles.
Principles and procedures of record keeping.
English usage, spelling, grammar and punctuation.
General mathematics including addition, subtraction, division, and multiplication.
Ability to:
Perform office and clerical support duties and tasks.

Experience:
Two (2) years of increasingly responsible clerical experience including customer service experience.
Training:
High school diploma or G.E.D.
Other combinations of experience and education that meet the minimum requirements may be substituted.
